Proactive inventory outreach: reach shoppers before they find another lot

October 28, 2026 · 4 min read · SideKick AI

Most dealerships wait for shoppers to find their inventory. Proactive inventory outreach flips that around: when a vehicle arrives that matches what someone already asked for, your store reaches out first, before that shopper spots something similar on another lot.

It’s one of the most welcome messages a shopper can get from a dealership, because it’s about the exact thing they told you they wanted.

Step 1: Capture what each shopper wants

You can only match inventory to people if you know what they’re looking for. Every conversation is a chance to capture it:

  • Make, model or body style
  • Budget or target monthly payment range
  • Must-have features, like third-row seating or 4x4
  • Whether they have a trade-in
  • When they’re hoping to buy

Phone calls are where this gets lost most often. An AI receptionist that answers every call can ask these questions consistently and save the answers to the lead, even after hours.

Step 2: Keep those details where your team can find them

Store each shopper’s preferences on their record in your CRM or lead list, using the same simple fields every time. If one salesperson writes “wants truck” and another writes “F-150 or Silverado under 40k,” matching gets hard fast.

Step 3: Match new arrivals to waiting shoppers

When vehicles come in, check them against open shopper requests. Make it part of your intake routine, or set up automation that flags matches for you. Start with your most recent and most specific requests, since those shoppers are the most likely to act.

Step 4: Send a personal, specific message

Keep it short and about them: “Hi Dana, a Highlander with the third row you asked about just came in. Want to see it tomorrow?” Include the vehicle, why you thought of them, and one easy next step. Only message people who agreed to hear from you, and include a way to opt out.

Step 5: Make the next step easy

Offer two or three times to come see it, or let them pick a time online. Then send a confirmation and a reminder. A shopper who replies “yes” at 9 PM should be able to book right then, not wait until morning.

Don’t forget the service drive

Customers already in your service lane with older vehicles are a natural fit too. When their appointment is booked, note what they drive, and let your sales team know if a matching upgrade comes in.
