How to reactivate dead leads in your dealership CRM

October 28, 2026 · 5 min read · SideKick AI

Every dealership CRM is full of shoppers who went quiet. They asked about a truck, booked a test drive they never made, or got a trade-in number and disappeared. Most of them didn’t buy from your store, but plenty haven’t bought anywhere yet either. Their situation changes: a lease ends, a family grows, a car finally gives out. Reaching back out at the right moment is one of the lowest-cost ways to put appointments on the board.

Here’s a simple five-step way to do it without annoying people or burning out your team.

1. Clean and sort the list first

Before you send anything, take out people who already bought from you, duplicates, bad numbers, and anyone who asked not to be contacted. Then sort what’s left into a few groups so your messages can be specific:

  • The vehicle or body style they asked about
  • How long ago they last talked to your store
  • Where the lead came from: your website, a phone call, a walk-in or a third-party site
  • Service customers driving older vehicles who might be ready to trade

2. Check consent and texting rules before you send

Text is the fastest way to get a reply, but it comes with rules. Only text people who agreed to hear from your store, identify your dealership in the message, and make it easy to opt out, then honor every STOP right away. If you’re not sure how the rules apply to your list, check with your compliance advisor before you launch.

3. Write short messages that sound like a person

Long promotional blasts get ignored. A short, specific question gets answered. For example:

  • “Hi Maria, it’s Jake at [Dealership]. You were looking at the Tacoma a while back. Still shopping, or did you find one? Reply STOP to opt out.”
  • “Hi Chris, [Dealership] here. We just got a few SUVs in that match what you asked about. Want me to send pictures?”

Use the shopper’s name, mention what they were interested in, and ask one easy question. Skip the all-caps deals and the list of five links.

4. Answer replies in minutes, not hours

A reactivation campaign only works if someone answers when people reply. Interested shoppers should get a quick response, a couple of simple questions about what they want, and an easy way to pick a time to come in. Replies that show real buying intent should go straight to a salesperson with the conversation attached.

This is where automation helps most. An AI assistant can respond instantly, collect the details and book the appointment, while your team focuses on the people who are ready to buy.

5. Track what actually happened

Measure the campaign by appointments set, appointments shown and vehicles sold, not just messages sent. Note which groups and messages got the best replies, and use that to plan the next round. A small campaign every few weeks usually beats one giant blast.
